Reunion Planning Tips

Feeling stressed with only a few weeks left to prepare? Check out these last minute reunion tips:

1. About two weeks prior to the reunion, send a reminder with location and dates, along with a checklist of “things to bring” to guests attending.

2. It is very important to verify reunion plans with vendors about two weeks prior.  Seventy-two hours before the reunion, confirm again with vendors such as caterers, who will require firm numbers of those attending.

3. Keep the kids busy by allowing them to help with last minute chores, finances, entertainment, and any other arrangements.  This will not only keep them occupied, but will also help to build future generations of reunion-goers.

4. Don’t be afraid to ask for help! You will be overwhelmed if you try to do it all on your own.  Ask everyone to help out with activities so committee members will have the chance to enjoy the reunion too.

5. Make the first gathering special by including a surprise such as a souvenir or a fun game to get friends and family interacting.  Reunion t-shirts or a family book of stories and memories are two great ideas!

6. Through the decorations and entertainment add some personal family touch.  You could be creative by displaying memorabilia for guests to enjoy, making sure to provide security for valuable pieces.  A scrapbook including pictures and letters is another great way to bring smiles and laughs to the faces of your guests.

7. The best reunion moments come at unexpected times, so photograph everything to look back and cherish memories.  You could even add disposable cameras on all the tables for guests to use through the event.

8. In order to remind guests of the special time shared together, send everyone home with a souvenir such as a local specialty or beach “goody bag” of memories.
